JOB OVERVIEW

The Repairs Administrator plays a vital role in supporting maintenance and repair operations by creating Repair Orders, managing vendor communications, and ensuring timely completion of repair activities. This position serves as the central point of contact for internal teams. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where multitasking and proactive problem-solving are essential. By maintaining accurate records, tracking repair progress, and facilitating parts procurement, the Repairs Administrator helps ensure operational continuity and parts availability.

Responsibilities:

  • Coordinate and schedule repairs with vendors and internal stakeholders.
  • Maintain detailed records of repair orders, turn around time (TAT), and cost estimates.
  • Monitor repair job progress to ensure timely completion and escalate delays as needed.
  • Communicate with internal teams and vendors regarding repair status, timelines, and updates.
  • Assist in sourcing and ordering parts and supplies as required.
  • Track and analyze repair costs to support accurate billing and cost control.
  • Ensure compliance with safety standards, company policies, and regulatory requirements.
  • Support continuous improvement initiatives in repair workflows and documentation processes.
  • Collaborate with production and operations teams to streamline repair coordination.

Qualifications:

  • High school diploma or equivalent; Associate’s degree in Business, Operations, or related field preferred.
  • 2+ years of experience in administrative support, maintenance coordination, or repair services.
  • Strong organizational and time-management skills with attention to detail.
  • Proficiency in Microsoft Office Suite and familiarity with maintenance management systems (CMMS).
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and manage multiple priorities in a dynamic environment.
  • Legally authorized to work in the U.S.
  • Fluent in English (written and verbal).

Preferred:

  • Experience working with vendors and service providers in a repair-focused environment.
  • Experience using Quantum.
  • Familiarity with equipment repair processes, parts sourcing, and typical associated documentation.
  • Customer service mindset with the ability to resolve issues professionally and efficiently.
  • Knowledge of safety and compliance standards related to repair operations.
  • Ability to navigate and interpret technical manuals.

Job Demands:

Work is performed in a Shop environment and requires the ability to perform extensive standing, driving, walking, and climbing; to lift up to 50lbs. regularly; to manipulate up to 100lbs. with assistance. Must be able to bend, stoop, climb to reach materials, and work in a noisy environment.
